Our client is a U.S.-based provider of botanical ingredients and nutraceuticals. They offer supplements for athletes, the elderly, women, and men. Their supplements promote immunity, cognitive function, and overall internal health. The client is a multinational corporation with operations in the US, India, and Singapore.

 

Their global Sales and Marketing teams faced major challenges as they operated independently on Odoo ERP’s CRM module and HubSpot CRM.
This setup resulted in redundant data entry, data discrepancies between systems, and considerable time wasted as teams duplicated their efforts.

 

The client wanted an automated solution to synchronize their contacts, leads, and deal-related data between HubSpot and Odoo. Their requirements included creating real-time syncs, with instant triggers for specific field entries in HubSpot, as well as scheduled rules for periodic data synchronization between the platforms several times a day.

 

The primary reason for maintaining both HubSpot and Odoo CRMs was HubSpot’s extensive feature set. However, Odoo served as their central enterprise management tool, making it essential for HubSpot data to reflect in Odoo quickly, to facilitate real-time planning and decision-making in the organization.

 

To address these requirements, the client partnered with Navabrind IT Solutions to integrate Odoo’s CRM module with HubSpot CRM. The project included custom workflows and automated triggers, enabling real-time synchronization for select data fields and scheduled updates for others, providing accurate and efficient data management across both platforms.

For this integration project, Navabrind IT Solutions deployed a dedicated app and synchronized historical data between HubSpot and Odoo. The customization enabled the client to synchronize HubSpot data with country-specific Odoo instances, which are maintained for taxation and other regional business requirements. After integration, the client can sync deals, contacts, company data, schedule tasks, add notes, log calls, and keep records, all of which are synchronized between HubSpot and Odoo ERP. The integration supports syncing up to 10,000 contacts at a time; since the client managed a larger dataset, we customized the initial data transfer process accordingly.

 

The tailored workflows and integration went live within a week, leveraging HubSpot’s robust API framework to ensure a secure and reliable connection.

 

The client has been benefiting from this integration for nearly a year and is experiencing significant operational efficiency.
